As the Data Controller, Vikingen Infinity Resort & Spa (the Company), we would like to inform you about the processing of your personal data when you submit Housekeeping requests, Technical Service reports, or any other room-related requests via our mobile/web guest application, in accordance with the Law on the Protection of Personal Data No. 6698 (KVKK) and relevant privacy regulations.
In order to process your room service requests, cleaning or amenity demands, and technical malfunction reports through the application, only the following limited data is processed:
Identity Information: Your First Name, Last Name, and Date of Birth
Location/Accommodation Information: Your Room Number
Your personal data is collected based on the legal grounds specified in Article 5/2-c of the KVKK ("Necessity of processing personal data belonging to the parties to a contract, provided that it is directly related to the conclusion or fulfillment of that contract") and Article 5/2-f ("Legitimate interests of the data controller"). It is processed for the following purposes:
Fulfilling your requests for cleaning, extra amenities (towels, pillows, etc.), and other room needs submitted via Housekeeping,
Resolving technical malfunctions and issues in your room swiftly,
Providing accurate, fast, and personalized hospitality services based on your correct room number,
Ensuring error-free operations focused on guest satisfaction.
The data you share on this platform is shared only with the relevant internal departments of our hotel (Housekeeping, Technical Service, Guest Relations, etc.) to fulfill your requests. Your data is never shared with third parties or external organizations unless required by legal regulations.
Data regarding your housekeeping, amenity, or technical requests is stored for a maximum period of 12 months in order to measure our service quality and perform retrospective satisfaction reviews. At the end of this period, your data is automatically and permanently deleted or anonymized by our systems.
In accordance with Article 11 of the KVKK (and GDPR framework where applicable), you have the right to learn whether your data is being processed, request information, and demand the correction or deletion of your data.
